How to create a product specification sheet for a Chinese supplier.

“Same as the sample,” “good-quality material” and “export packing” sound clear until several people have to quote, manufacture and inspect the same order. Every undefined field becomes a supplier assumption. Those assumptions surface later as price gaps, sample revisions, production changes or inspection disputes.

A product specification sheet is the controlled interface between the buying requirement and the supplier’s execution. It does not replace drawings, the purchase contract, regulatory assessment or laboratory work. It identifies the effective documents, measurable requirements, acceptance evidence and changes that require another decision. Start with a verifiable requirement

ISO’s public supply-chain guidance explains that buyers define product needs through specifications, drawings, standards, catalogues or other documents, and that purchasing information should help suppliers understand both the requirement and how conformity will be verified. The guide references ISO 9001:2008, so it is used here as explanatory guidance rather than a quotation from the current standard.

A specification may begin with open fields. Mark them as confirmed, open or not applicable. Do not fill a safety, regulatory, load-bearing, electrical or chemical requirement with an unsupported number just to complete a template.

1. Product identity and intended scope

Identify the product name, buyer and supplier part numbers, model, destination market, intended use, project or purchase-order reference, set contents and exclusions. This stops a correct requirement from being applied to the wrong market, voltage, size, material or packaging variant.

2. Documents, revisions and order of precedence

List the specification revision, issue date, drawings, 3D files, bill of materials, colour references, artwork, test methods and approved-sample number. Keep a revision table showing old value, new value, reason, impact, approvers and the orders affected.

Agree what happens when documents conflict. Applicable law may override the contract; the contract, purchase order, approved drawing and supplier catalogue may then have a defined order of precedence. The exact sequence is project-specific, but leaving it undefined invites disputes.

3. Materials, components and substitution rules

Replace generic labels such as “plastic,” “stainless steel” or “eco-friendly” with the grade, composition or performance range that the product actually needs. Identify critical components, restricted substances, required declarations and which sources or brands cannot change without approval.

If equivalent material is acceptable, define the evidence and approval path. A supplier should not silently substitute a critical material, component, formulation or production location.

4. Dimensions, tolerances, weight and interfaces

Link every critical dimension to a drawing location, unit, tolerance and measurement method. Include assembly clearances, threads, connectors, mating surfaces and weight when they affect function, freight or fulfilment.

Tighter tolerances are not automatically better. Engineering and manufacturing teams should set them around function, process capability and failure consequences; copying an arbitrary tolerance can increase cost without controlling a real risk.

5. Function, performance and test conditions

Convert words such as durable, waterproof or powerful into inputs, outputs, load, capacity, cycles, environmental conditions, equipment, method and pass criteria. The test result should be traceable to a sample or production lot.

NIST describes conformity assessment as activities including supplier declarations, sampling, testing, inspection and certification. A standard states requirements; the chosen assessment activity connects those requirements to evidence. The specification therefore needs both the target and the verification method.

6. Appearance, workmanship and defect boundaries

Define colour, texture, gloss, printing position, burrs, scratches, sink marks, weld appearance and assembly gaps with colour references, limit samples, photographs or measurements. Mark high-visibility and non-cosmetic areas where useful.

Classify critical, major and minor defects in a product-specific inspection plan. A generic AQL value does not define the product and should not replace measurable workmanship criteria.

7. Packaging, labelling and logistics conditions

Specify unit pack, inner and master carton quantities, materials, dimensions, gross and net weight, moisture or corrosion protection, pallet rules, barcodes, label position, languages, shipping marks and enclosed documents. Confirm separate transport and market duties for batteries, dangerous goods, food-contact or other regulated products.

Packaging is part of delivery conformity. A correct product with the wrong label, carton count or fulfilment dimensions can still fail customs, warehouse or retail requirements.

8. Acceptance evidence and change control

Connect every important requirement to a verification owner and evidence type: supplier inspection record, material declaration, first-article result, approved sample, in-process check, pre-shipment inspection or loading record.

Material, structure, process, source, performance, label or compliance changes should enter a documented impact review before production. The European Commission’s CE-marking guidance notes that manufacturers of products within relevant EU legislation must identify requirements, complete conformity assessment and keep technical documentation. That boundary does not make every product subject to CE marking, and a specification sheet alone is not certification.

  1. Which exact product, variant, market and order does this file cover?
  2. What is the effective revision?
  3. Which drawings, BOM, artwork and approved samples are incorporated?
  4. Which materials and components cannot change without approval?
  5. What are the critical dimensions and measurement methods?
  6. What performance target and test conditions apply?
  7. What appearance and workmanship limits apply?
  8. What packaging, labels and carton configuration apply?
  9. Which product rules may apply, and who confirms them?
  10. What is included and excluded from the supplier’s quotation?
  11. Which records prove a sample or lot passed?
  12. Which changes trigger review, resampling, testing or reapproval?

Conclusion: control the revision before negotiating price

A useful specification sheet removes hidden defaults. It puts the buyer, supplier, engineer and inspector on the same product definition and makes quotation assumptions, sample evidence and production changes visible.

Do not only define what you want. Define how conformity will be shown, which revision controls and what happens when something changes.

Can I create a specification sheet without a complete engineering drawing?

Yes. Start a controlled requirement version and mark each field as confirmed, open or not applicable. Safety, regulatory and critical engineering requirements still need qualified review rather than supplier guesswork.

Should I accept the supplier’s own specification sheet?

It can form part of the specification pack, but both parties should identify the effective revision, document priority, approval scope and changes that require written notice or reapproval.
